Find event and promotion projects

Looking for new assignments organizing events, promotions or trade show appearances?

On Tyoon, individuals and businesses can post tasks related to event planning, promotions, trade shows, parties and other occasions. As a service provider you can browse open tasks, choose assignments that fit your skills and schedule, and send the customer your own offer. The task can be, for example, planning an entire event, a single promotion day, or coordinating the day of an event, depending on the nature of the assignment.

Tyoon suits event producers, promoters, party planners, trade show representatives, event coordinators, light entrepreneurs, sole traders, and small and larger event industry companies.

Registration is free, and there is no monthly fee.

Important

Tyoon is not a staffing agency or an employer. The service is intended for independent service providers and businesses looking for independent event and promotion jobs — not job postings through staffing agencies.

What kind of event and promotion tasks are posted?

Client needs can range from organizing a single promotion day to planning and executing a large-scale event.

Tasks that may be posted on Tyoon include, for example:

  • full planning and execution of an event
  • product demonstrations and promotions in stores or at trade shows
  • organizing conferences and seminars
  • organizing private occasions, such as birthday parties
  • planning and coordinating weddings
  • organizing corporate events and staff recreation days
  • building trade show stands and representing clients at trade shows
  • organizing markets and sales events
  • production support for concerts and performances
  • coordinating and scheduling the day of an event
  • other practical tasks related to organizing events and promotions

You decide for yourself which tasks to respond to. You do not have to take on tasks that do not match your skills, availability or qualifications.

Who are event and promotion tasks suitable for?

Tasks posted through Tyoon can suit both individual organizers and promoters, as well as larger event industry companies.

The service may suit you if you:

  • plan and execute various types of events
  • carry out product demonstrations and promotions
  • organize conferences or seminars
  • plan private occasions or weddings
  • organize corporate events or staff recreation days
  • build trade show stands or represent a client at trade shows
  • coordinate the flow of an event on the day itself
  • want to find more regular clients alongside your current assignments

Tyoon is not an employer or a staffing agency. Clients post tasks on the service that independent service providers and companies can submit their own offers for.

Full event planning and execution

Some clients need help planning an entire event from concept to execution.

The task may involve, for example:

  • designing the concept and programme of the event
  • finding a suitable venue or location
  • drawing up a schedule and budget
  • coordinating subcontractors, such as catering or sound companies
  • marketing the event and sending invitations
  • the practical execution of the event on the day

Before making an offer, find out how extensive the project is, and which parts the customer expects you to handle yourself, and which they will handle themselves or with other providers.

Product demonstrations and promotions

Businesses often look for help presenting their products in stores, at trade shows or at other promotional events.

The task may involve, for example:

  • product demonstrations and tastings in stores
  • organizing promotional events in shopping centres
  • distributing brochures and marketing materials
  • running competitions and prize draws at an event
  • representing a brand at events
  • collecting customer feedback during an event

Make sure you know the product or service you are presenting well enough to answer customers’ questions, and ask the client for additional materials or briefing before the event if needed.

Conferences and seminars

Companies and organizations hold conferences and seminars, and often need outside help with the practical arrangements.

The task may involve, for example:

  • handling the practical arrangements of an event, such as staffing a registration desk
  • coordinating the programme and schedule on the day of the event
  • making sure equipment, such as sound and presentation technology, works properly
  • guiding participants around the venue
  • scheduling refreshments and breaks
  • preparing materials and name badges

Agree clearly in advance on which parts you are responsible for and which the client or other subcontractors are responsible for, so that the division of responsibility is clear to everyone on the day of the event.

Private occasions

Private individuals often need help organizing birthdays, graduation parties or other celebrations.

The task may involve, for example:

  • planning the theme and programme of a party
  • decorating the venue
  • planning and arranging refreshments
  • organizing music or entertainment
  • managing the guest list
  • the practical coordination of the day of the celebration

Agree clearly with the client in advance on the budget and what exactly is included in the price, for example taking down decorations after the party.

Weddings

Wedding planning and coordination is a large undertaking that many couples seek outside help with.

The task may involve, for example:

  • planning the schedule and programme of the wedding day
  • coordinating the venue and subcontractors, such as catering, flowers and music
  • decorating the wedding venue
  • coordinating the flow of the wedding day on site
  • managing the guest list and seating arrangement
  • monitoring the budget

State clearly in your offer what your wedding coordination service includes, for example whether you plan the entire event or only coordinate the wedding day itself.

Corporate events

Companies organize, for example, staff recreation days, holiday parties and other events for employees or clients.

The task may involve, for example:

  • planning and executing recreation days and team events
  • organizing holiday parties and other celebrations
  • coordinating client events
  • organizing the programme and activities
  • booking refreshments and venues
  • managing the event budget

Find out the number of participants and the client’s wishes regarding the nature of the event well in advance, so you can make an offer that matches the client’s needs.

Trade shows

Companies need help building trade show stands and representing them at trade shows.

The task may involve, for example:

  • designing and building a trade show stand
  • transporting trade show materials and products to the venue
  • representing the client at the trade show stand
  • welcoming visitors and demonstrating products
  • collecting contact details during the trade show
  • dismantling the trade show stand after the event

Before making an offer, check the trade show organizer’s rules on building, scheduling and dismantling the stand.

Markets

Markets and other sales events often require practical organizing support for vendors and organizers.

The task may involve, for example:

  • planning the market area and arranging vendor spaces
  • guiding vendors and providing them with practical assistance
  • keeping the market area tidy during the event
  • setting up and dismantling the market
  • organizing a programme for visitors

Some market and sales events may require the organizer or vendors to obtain separate permits, for example from a municipality or other authority. Clarify with the client who is responsible for obtaining any necessary permits, and do not assume that permit matters are automatically handled.

Concerts and performances

Organizing concerts and other performances often requires production support before and during the event.

The task may involve, for example:

  • helping set up the stage and equipment
  • welcoming performers and coordinating the schedule
  • guiding the audience and supporting security staff
  • practical assistance with sound and lighting
  • dismantling after the performance

Find out in advance whether the task requires, for example, a security guard card or other separate qualification, and only offer services you have the necessary skills to carry out.

Event day coordination

Many clients specifically need help coordinating the smooth running of the event day itself, even if the planning has already been done.

The task may involve, for example:

  • monitoring the schedule and ensuring the programme runs smoothly
  • coordinating subcontractors and staff on site
  • resolving unexpected situations on the day of the event
  • guiding guests around the venue
  • staying in contact with the client during the event

Familiarize yourself thoroughly with the client’s event plan and schedule in advance, so you can coordinate the day smoothly even in unexpected situations.

Which business form can be used to offer event and promotion services?

Tyoon can be used by service providers operating under different business forms. Each service provider is responsible for their own invoicing, taxes, insurance, registration of activities, and any licence or qualification requirements.

Freelancer without their own business

For individual, short-term event and promotion tasks, it may in some cases be possible to take part without your own business or invoicing service, if the client pays you a fee as work compensation and handles the tax withholding based on your tax card. Always agree with the client in advance on how the fee will be paid and who is responsible for the tax withholding. If you start taking on assignments regularly or on a larger scale, being a light entrepreneur or another business form may be needed.

This may suit you, for example, if:

  • you take on individual, short-term promotional or assistance tasks
  • you do not want to register as an entrepreneur or use an invoicing service at this stage
  • a client is willing to pay the fee directly to you as work compensation

Light entrepreneur

Working as a light entrepreneur may suit someone who wants to take on event and promotion tasks more regularly and invoice their work through an invoicing service. Always check the terms of your invoicing service and make sure the service you are planning can be invoiced through it.

This may suit you, for example, when:

  • you work on the side
  • you take on several tasks per month
  • you want to try offering services before setting up a business
  • you provide services personally without employees
  • you carry out promotional, assistance or coordination tasks that do not require a separate licence

Sole trader

Operating as a sole trader may suit an independent event organizer or promoter who wants to build a longer-term client base. Tyoon can help you find new clients and supplement your current schedule.

A sole trader service provider can, for example:

  • acquire regular private and business clients
  • offer event planning and coordination packages
  • enter into contracts with business clients
  • invoice clients directly
  • build their own company profile and client base

Limited company

A limited company operating in events or promotions can use Tyoon to find new clients and requests for offers. The company can decide for itself which tasks to submit offers for.

The service may suit a company that has:

  • several event coordinators or promoters
  • its own equipment, such as sound systems or trade show stand structures
  • business clients
  • a wider operating area
  • capacity to run several events at the same time

General and limited partnership

A general partnership or limited partnership can also register on Tyoon as a service provider. This may suit, for example, a family business or an event service run jointly by several professionals.

How to find event and promotion tasks on Tyoon

1. Create a service provider profile

Register as a service provider and describe what event and promotion services you offer.

Add at least the following to your profile:

  • your services, for example event planning, promotions or trade show representation
  • your operating area
  • your experience
  • your availability
  • the languages you use
  • your business form
  • any relevant training and qualifications

2. Browse open tasks

Customers describe the service, the nature of the event, location, schedule and possible budget they need in the task. Read the task description carefully and ask for more information if needed before confirming a price.

3. Send the customer an offer

Your offer should include:

A good offer states:

  • the proposed price
  • whether the price is hourly, daily or fixed
  • when you can carry out the work
  • the estimated duration of the work
  • whether, for example, travel or material costs are included in the price
  • any possible additional costs
  • exactly what the service includes

4. Agree on details before starting the work

Once the customer accepts your offer, agree in writing on the content of the work, the price, the schedule, and who is responsible for any changes, additional work or cancellations.

How is the price of the service determined?

The price of event and promotion services can be affected by, for example:

  • the content and scope of the task
  • the size and duration of the event
  • the time needed for planning and preparation
  • the equipment and materials required
  • travel costs
  • urgency
  • evening and weekend work
  • the need for assisting staff

Keep the event budget and your own fee separate. State clearly in your offer which part of the price is your fee and which is, for example, equipment, material or subcontracting costs. You can price your service, for example, at a fixed price, an hourly rate, a daily rate, or a percentage of the event’s total budget — choose the approach that best suits the task in question. State clearly in your offer what is included in the price and what may be invoiced separately.

What does it cost to use Tyoon?

Tips for a good service provider profile

A good profile helps the customer assess your reliability and competence.

  • a clear description of your services
  • your operating area
  • your experience with different types of events
  • examples of events or projects you have previously carried out
  • your company details
  • any relevant training and qualifications
  • your availability
  • your language skills

Keep your service description accurate. Do not claim to handle permit matters or other responsibilities towards authorities unless this is clearly part of the service you have agreed on.
